Responsibilities

  • Support the Cancún resort's purchasing function: process purchase orders, coordinate with department heads on requisition approval, manage the supplier communication for delivery scheduling, and maintain the purchasing records (purchase orders, supplier invoices, delivery notes) that the accounts payable team requires for three-way match
  • Coordinate with the storeroom team on goods receipt: verify that deliveries match the purchase order specifications (quantity, unit, brand, and quality) and that the delivery note is signed and filed before any goods are accepted into store
  • Manage the purchasing calendar for perishable categories: the resort's daily fresh food purchasing requires a strict delivery schedule with the hotel's fresh produce, seafood, and dairy suppliers — the purchasing clerk coordinates the daily delivery windows and manages any shortage or substitution with the executive chef
  • Maintain the supplier contact database and product catalog for the department's approved supplier list: Cancún resort purchasing uses an approved supplier list to ensure consistent quality and compliance — the purchasing clerk maintains the database and flags any supplier changes or product discontinuations
  • Process CFDI invoice receipt for the accounts payable function: verify that all supplier invoices are valid timbrado CFDIs before routing to AP, and coordinate the CFDI correction process with suppliers who emit non-compliant invoices
  • Track purchasing KPIs for the Purchasing Manager: report on delivery compliance rates, price variance from the standard cost, and supplier performance metrics on a weekly basis

About the role

The Cancún resort purchasing clerk who takes the chef's 6:00 AM call about the octopus delivery arriving 8 kg short of the 25 kg ordered — who immediately contacts the seafood supplier, escalates to the backup seafood supplier on the approved list for a same-day delivery of the 8 kg gap, confirms the delivery for 11:00 AM, and communicates the solution to the chef by 6:30 AM — has done the supply chain response work that means the guests at the ceviche station that evening will never know there was a problem. The purchasing function's excellence is invisible when it works and very visible when it doesn't. The clerk who makes it work invisibly has done their job at its highest level.
