Responsibilities

  • Manage the purchasing function for a Puerto Vallarta boutique or mid-scale hotel: own the daily and weekly purchasing cycle across all categories, manage supplier relationships, process purchase orders, coordinate deliveries, and maintain the purchasing records and CFDI compliance required by the accounts payable team
  • Develop the hotel's regional supplier program: Puerto Vallarta's location within Jalisco's agricultural heartland gives the purchasing coordinator access to Jalisco cheese producers, Colima organic fruit growers, Pacific coastal fishing cooperatives, and the Tequila Valley's artisanal spirits producers — the coordinator builds and maintains these direct relationships as alternatives to the standard hotel supply distributors
  • Manage the whale watching season purchasing calendar: the December–March whale watching peak requires the most commercially significant purchasing calendar of the year — the purchasing coordinator prepares the seasonal demand plan with the executive chef and GM, executes the November pre-season stock build, and manages the supplier delivery schedule during peak weeks
  • Coordinate the Jalisco state beverage tax compliance: Jalisco's artisanal tequila and mezcal purchasing has specific IEPS (excise tax) documentation requirements — the purchasing coordinator manages the IEPS documentation for all spirits purchases
  • Manage CFDI compliance for all hotel purchasing: validate supplier CFDI, process the three-way match with the AP team, and coordinate the CFDI correction process with suppliers whose invoices are non-compliant
  • Source and maintain the hotel's Jalisco cultural experience product vendors: the boutique hotel's tequila hacienda tour, the Sayulita daytrip, and the mezcal tasting experience require small local vendor relationships managed alongside the purchasing function

Requirements

  • Purchasing or hospitality operations experience; Jalisco or PVR market preferred
  • Regional supplier relationship development
  • Jalisco IEPS spirits tax documentation awareness
  • SAT CFDI compliance management
  • English and Spanish bilingual; whale watching season demand planning
