Purchasing & Storeroom Administrator

Responsibilities

• Manage the complete purchasing and storeroom function for a San Miguel de Allende boutique hotel or hacienda (20–80 rooms): as the sole purchasing professional for the property, manage the weekly purchasing calendar, all supplier relationships, purchase order processing, goods receipt and storeroom management, physical inventory, and CFDI compliance
• Source from the San Miguel artisan and regional producer community: the SMA boutique hotel's culinary identity is built on provenance — the purchasing administrator attends the Tuesday Mercado del Martes organic market, maintains relationships with the Guanajuato wine valley producers (Cuna de Tierra, Tres Raíces, and Viñedo San Lucas), and sources the property's charcuterie, honey, and specialty preserves from the Guanajuato artisan producer community directly
• Manage the cobblestone access logistics for SMA supply deliveries: San Miguel's centro histórico cobblestone streets require delivery coordination that accounts for the vehicle size restrictions on colonial streets, the peak tourist pedestrian hours when large vehicles cannot navigate safely, and the narrow entrances that some boutique hotels' loading areas require
• Execute altitude-aware perishable management: at 1,870m above sea level, SMA's temperature fluctuations between day (25°C) and night (12°C) affect perishable storage differently than sea-level properties — the purchasing administrator manages the cold storage settings and the storeroom temperature monitoring with the altitude context in mind
• Manage CFDI compliance for all hotel purchasing: including guidance for the small artisan producers at the Mercado del Martes who may not yet have established CFDI emission capability — coordinating with the property's fiscal advisor on the small supplier documentation requirements
• Coordinate the destination wedding and private event purchasing plan: the SMA boutique hotel's event business creates the most commercially significant purchasing events of the year — the purchasing administrator manages the floral program sourcing (from the Bajío flower wholesalers in Celaya), the artisan product program (local pottery, Guanajuato honey, Mexican craft spirits for the cocktail bar), and the fresh food purchasing for high-count event menus

Requirements

• Purchasing and storeroom experience; boutique or small employer preferred
• Guanajuato / Bajío regional supplier knowledge (wines, artisan food, produce)
• SMA cobblestone delivery logistics awareness
• SAT CFDI compliance management for small and artisan suppliers
• English and Spanish bilingual — essential for SMA's international boutique ownership and guest community
