Reservations & Group Coordinator

Responsibilities

• Manage reservations for a PVR boutique or five-star property while coordinating the small group and incentive booking pipeline: the dual function requires the coordinator to manage individual reservations during standard volume periods and shift to group proposal management when incentive travel and wedding group inquiries arrive
• Handle destination wedding room block coordination: Puerto Vallarta is one of Mexico's most popular destination wedding locations — the room block management for the wedding couple's guest list requires systematic tracking, individual booking follow-up, and rooming list consolidation
• Coordinate with the tourism board and cruise terminal schedule awareness: PVR receives cruise ship arrivals that affect the city's tourism demand pattern — the reservations coordinator tracks the cruise calendar and adjusts the availability strategy for high-cruise days when day visitors affect the destination's perceived capacity
• Manage the property's group tentative booking inventory: protect room availability against group options while maintaining individual reservation sales — the coordinator manages this balance with the Revenue Manager's guidance
• Develop and maintain relationships with the PVR wedding planner community: the coordinators who know the property's capabilities best book the most room blocks — the reservations coordinator cultivates these relationships with regular communication and site visit coordination
• Handle the pre-arrival rooming list and special request coordination for arriving groups: group arrival preparation requires the reservations coordinator to communicate individual room assignments, VIP room priorities, and any special requests to the front office team in advance

Requirements

• Reservations and group coordination experience
• English and Spanish bilingual; additional language preferred
• Destination wedding room block management
• Group proposal preparation and follow-up
• PMS and group booking system management
