Junior Wedding Assistant / Events Support

Responsibilities

• Support the Senior Wedding Coordinator across all phases of wedding management: take meeting notes, maintain couple communication logs, update timeline documents, and manage administrative tasks that free the Coordinator for client-facing and creative work
• Coordinate vendor confirmation calls: 48 hours before each event, contact every vendor to confirm arrival time, setup requirements, and contact details — this confirmation round is the prevention step that catches the surprises before they become day-of crises
• Manage setup supervision on wedding day: oversee the physical setup of ceremony and reception spaces against the approved floor plan, checking each element before the Coordinator begins final walk-through
• Assist with day-of timeline management: shadow the Senior Coordinator throughout the wedding day to learn real-time event management and provide additional communication hands during the ceremony and transition to reception
• Maintain the wedding department's supplier database and vendor review records
• Handle couple inquiries and initial response within 24 hours when the Senior Coordinator is occupied with a live event

Requirements

• Organizational discipline and detail orientation
• English fluency for international wedding client communication
• Event or hospitality background; formal wedding experience not required
• Willingness to learn in a high-volume, high-pressure wedding environment
