Responsibilities

  • Coordinate weddings at beachfront and colonial hotel properties in Puerto Vallarta: beach ceremonies, garden receptions, rooftop events, and indoor colonial ballroom celebrations each require distinct operational approaches
  • Guide clients through the venue selection conversation: the Parroquia church backdrop view requires specific terrace or rooftop venue positioning; the beach ceremony requires permit coordination and tide-schedule awareness; the colonial hacienda outside the city requires guest transport organization — each option has specific logistics the coordinator explains during initial planning calls
  • Manage the PVR vendor ecosystem: coordinate with local photographers who know the city's best light angles at different times of year, wedding officiants for both civil and symbolic ceremonies, floral designers working with tropical and desert-adjacent florals, and local catering teams experienced in outdoor Puerto Vallarta weather conditions
  • Develop hurricane season contingency plans: PVR's June–November hurricane season affects outdoor wedding planning — the coordinator maintains specific rain and wind contingency protocols and ensures all couples with dates in this period have confirmed backup options
  • Coordinate with the Malecón's public space management when ceremonies include the seafront boardwalk: certain ceremony elements near the Malecón require coordination with the Puerto Vallarta city events department
  • Produce detailed BEOs and vendor briefing documents for each event

Requirements

  • Event coordination experience; destination wedding experience preferred
  • English fluency for North American wedding client demographic
  • Knowledge of Puerto Vallarta's venue landscape and vendor ecosystem
  • Hurricane season contingency planning experience or strong organizational ability
  • Creative flexibility across beach, colonial, and garden venue environments

The couple planned the dress and the flowers; the coordinator planned everything else.
